Client Automation Types

Within your Gym Management Software platform, you’re able to set up a wide variety of client automations.

Keep reading to learn more about the types of client automations, what they’re used for, and how to use them.

What Are Client Automations?

Client Automations allow you to control automated tasks based on your client’s actions. Depending on which automation you choose there will be different setting options available. The settings can consist of When?, Who?, What?, Why?, With?, For?, How? and Message.

When? Settings will determine when to run the automation. This is where you set the action that will trigger the automation, i.e. when a client purchases a group.

Who? Settings will determine which clients will receive the automation. This can be all accounts, members of a particular group, clients with or without specific tags, by location, or in some instances, staff members.

What? Settings will determine what happens after the action. These options depend on which automation you have chosen (i.e. the “Assign a Plan” automation would assign a plan after the action).

Why? Settings determine why you are sending certain notifications (i.e. with the “Remind a User” automation you could specify to send a reminder when clients have not completed workouts within the last day). This setting can be pre-set already depending on the automation.

With? Settings are for automations where you can specify staff members.

For? Settings are for automations where you can specify services.

How? Settings allow you to choose how the information is sent (i.e. text, email, or in-app notification).

Message – This is where you can add a customized message.

Automation Types

Add to Group

Automates the task of adding clients to groups based on an action you specify. This can be when clients purchase any (or specific) plans, packages, online training, products, or groups. It can also be used when a client has started a specific plan, booked a specific session, or has a tag added or removed.

Add/Remove Tag

Automates the task of the addition or removal of client tags based on an action you specify. This can be when clients purchase any (or specific plans), packages, online training, products, or groups. Assign a Package

Automates the task of assigning a package to a client based on an action you specify. You can set the automation to run when clients purchase any (or specific) plans, packages, online training, products, or groups or when a tag has been added or removed. There are additional options for the package to be assigned such as charging for the package or assigning it for free. You can also set the activation and expiration of the assigned package. Assign an Assessment

Automates the task of assigning an assessment when clients purchase any (or specific) plans, packages, online training, products, or groups. Other actions can be the start of a specific plan or booking a specific session. Click on the article below for more information:

Cancel User

Automates the task of canceling a client after a subscription has been canceled or a package has expired. If the account has no current or future subscriptions and no future packages set the user will be removed as a client. They will also be removed from all groups and their account will be switched to a free account.

Downgrade User

Automates the task of downgrading a user when clients purchase any (or specific) plans, packages, online training, products, or groups or when a tag is added or removed. You must specify the item to downgrade.

Remind User/Send Recurring Content

Automates the task of sending reminders or recurring content to clients. You can set the reminder to daily, weekly, or monthly. There are options to specify which clients by tags, location, or group. The criteria for sending reminders are no workouts have been completed, no assigned assessments have been submitted, no progress photos uploaded or no measurements have been logged. Automates the task of sending an upcoming appointment reminder to clients. You can set the number of hours before an appointment that the reminder should be sent.
